Help people to use our tools

We believe our tools like ERPNext can help organizations reduce waste and complexity. Frappe + ERPNext has the potential to be a “full stack” replacement for not only ERP (SAP/Oracle) but also the entire enterprise stack (Java/.NET). With this scope, we should help organizations by providing products and services to help them manage their technology platforms.

Challenges

Before implementing ERPNext, Viet Hai Dang simultaneously used many different tools to manage sales, inventory and human resources. The use of many discrete, unconnected software systems causes many obstacles in overall management. Including:

  • High operational costs: Utilizing multiple solutions incurs significant costs for installation, maintenance, and annual software licensing.
  • Lack of data synchronization: Each system stores and processes data independently, making it difficult to integrate information across departments.
  • Complex workflows: Employees must constantly switch between systems, reducing efficiency and increasing the likelihood of errors.
  • Lack of flexibility and scalability: Individual systems have limited compatibility and upgradeability as the business grows.
  • Limited overall visibility: The lack of data synchronization and integration hinders the management's ability to gain a comprehensive view of the business.

Benefits

By replacing all previous fragmented software tools by using a centralized management system with ERPNext, Viet Hai Dang not only solves the problem of process linkage, and centralized data digitization, but also improve sales performance through the following aspects

  • Multichannel Sales Management: This involves managing sales through the distribution channel (GT channel), which includes centralized order management for the sales team via the SFA application. It also encompasses sales management through the Webshop, synchronizing orders from the SFA app, and overseeing sales programs as well as delivery and return activities.
  • Human Resource Management: This focuses on the management of field staff (routes, KPIs, and point-of-sale care activities). Employees utilize the SFA application developed by MBW (similar to the DMS app) for market activities.
  • Customer Relationship Management (CRM): This entails managing customer information by distributor and point-of-sale agent, oversight of customer credit limits, group customers, and management of pricing applicable to each customer or customer group.
  • Payment and Accounts Receivable Management: This includes managing receivables by employee, customer, or sales order; accounting for receivables; and allocating payments across multiple orders for customers, as well as managing single order accounts with multiple payment transactions.

Impact

Successful on-time ERPNext go-live

Increased sales order to cash

Increased inventory turnover

Synchronizing data on a single platform enables more efficient information management, paving the way for flexible growth and management in the future. The implementation of ERPNext brings significant improvements in daily operations management, optimizing both time and costs. Leadership can effortlessly monitor all business activities, from sales and inventory to receivables and employee performance. For details:

  • Minimize Operational Costs: Integrate all processes into a single management system, reducing installation, maintenance, and annual support costs compared to using multiple disparate systems.
  • Comprehensive Data Synchronization: Create a centralized data system, enabling seamless integration of information across departments such as sales, finance, inventory, HR, and accounting. Particularly, it connects sales and lubricant distribution activities on the GT channel with other departments.
  • Simplify Workflow: Develop streamlined processes that allow employees—from office staff to field sales teams—to work on a unified platform. This enhances productivity while minimizing errors and confusion in operations.
  • Enhance Management and Scalability: Ensure system flexibility to support business expansion, providing leadership with a clear and comprehensive view of business performance to make timely and accurate decisions.
